Privacy and data processing

1. Controller

2. What we collect

(a) Business contact details you send us (name, company, email address) and (b) the product files you send for a batch — for example a supplier product list and a store export. We do not ask for access credentials to your store, ERP or supplier accounts, and we do not run tracking or advertising scripts on this site.

3. Why we process it

To quote, produce, deliver and support the reconciliation report you asked for, and to keep the business records needed to invoice and to answer your questions. We do not use your files for any other purpose.

4. Legal basis

Processing is necessary to perform the contract with you and to meet accounting obligations. Where consent is required in your jurisdiction, it is obtained before the batch starts.

5. How the work is done

Comparison is performed by our own matching software, running on infrastructure located outside your country (currently in Singapore). Output is reviewed by a person before delivery. Files are transmitted by email or by an encrypted download link. We do not use your data to train machine-learning models and we do not sell or share it with other clients.

6. Retention

Input and output files are deleted 30 days after delivery unless you ask us in writing to keep them longer. Business correspondence and invoices are kept as long as accounting and tax rules require. You can ask for earlier deletion of your files at any time and we will confirm when it is done.

7. Sharing

We do not sell your data. We share it only with the infrastructure and email providers necessary to deliver the service, and with professional advisers where legally required. Where a transfer outside your region is involved, it is limited to delivering the batch you ordered.

8. Your rights

You can ask for a copy of the data we hold about you, ask us to correct or delete it, or object to a particular use. Write to cry19810905@gmail.com; we answer within one business day (Mon–Fri, UTC+8) and complete requests within 30 days.

9. Security

Access to batch files is limited to the person doing and reviewing the work. Files are stored with access controls and removed on the retention schedule above. If a breach affects your data, we will tell you without undue delay.

10. Changes

If this notice changes, the updated version is published on this page with a new date.
